What I do every month
Your books, kept on a cash basis in QuickBooks Online:
- Every transaction categorized and your bank, card and payment app reconciled to their statements, so the numbers match what the bank says.
- Receipts by text. Text a photo to my number, (623) 748-1006, or email it, and I file it against the matching charge.
- A profit and loss statement and a balance sheet by the 15th, for the month and the year so far, with a short summary in plain English.
- Tax-ready books. After the year ends, whoever does your taxes gets your full-year profit and loss, balance sheet and general ledger.
- QuickBooks Online included, set up in your name. The file is yours.
How it works
You connect your accounts once. Your business checking, your business card and your payment app, like Square or Stripe, link to QuickBooks Online. You do the connecting, so I never ask for your banking passwords.
You text receipts as you go. A photo from the truck is plenty. If a charge comes through that I can't place, I text you a quick question, like the one in the picture above.
I close out the month. Everything gets categorized and reconciled, and by the 15th your statements and summary land in your email. You get my number, and I'm the one who answers it.
$299 a month, billed annually, or $349 month-to-month
Add it to any plan. It includes up to 100 transactions a month across 3 accounts, averaged over the quarter, so a busy summer month doesn't cost extra. Like every extra, it has a one-time setup of one month. The whole office includes Bookkeeping, along with the Field App and Studio, with no setup fee.
If you need a little more
- 1099s for your subcontractors: $25 each, filed by January 31, as long as I have their W-9s by January 15.
- An extra account, like a second card or a truck loan: $25 a month.
- A busier quarter than 300 transactions: $50 for each extra 50.
- Books that are behind: $150 for each month, quoted in writing before I start.
What I don't do: tax returns or tax advice, payroll, or Arizona TPT filings. I keep your books ready for the people who do.
Common questions
Do you do my taxes?
No. I keep your books tax-ready and hand everything to whoever does your taxes: after the year ends, they get your full-year profit and loss statement, balance sheet and general ledger. I can file your subcontractors' 1099s too, for $25 each.
Do you do payroll?
No. If you run payroll through a service like Gusto, I categorize its withdrawals with everything else, but I don't run payroll or file payroll taxes.
What counts as a transaction?
One line on a bank, card or payment-app statement. A payout from Square or Stripe to your bank counts once. Bookkeeping includes up to 100 a month across 3 accounts, averaged over the quarter, so a busy summer month doesn't cost extra. Past that, it's $50 for each extra 50, and each extra account, like a second card or a truck loan, is $25 a month.
My books are behind. Can you still take them on?
Yes. Catching up is $150 for each month behind. I quote it in writing before we start, and it's paid before the catch-up work begins. After that, it's the regular monthly price.
Who owns my QuickBooks file?
You do. QuickBooks Online is included in the price and set up in your name. I do the work in it, and you can have the main admin role whenever you ask. If you ever stop bookkeeping with me, the file and all its history stay yours.
Will you need my bank passwords?
No, never. You connect your own bank and card accounts to QuickBooks Online, and the transactions flow in from there. I never ask for or hold your online banking logins.
